Job Description

The Special Event Coordinator enhances the Atlanta Humane Society's community presence through strategic event planning, execution, relationship building, and fundraising. This full-time role reports to the Director of Special Events, overseeing adoption and fundraising events, managing key aspects of the Bow Wow Brunch, and various projects as assigned. The ideal candidate is dynamic, with exceptional interpersonal skills and a proven track record of managing high-stakes relationships effectively. 

 

Duties & Responsibilities

  • Plan, coordinate, and execute a variety of events, including adoption promotions and fundraising events. 

  • Utilize creative thinking to design and implement unique and engaging experiences for sponsored adoption weekend events. 

  • Manage key logistical aspects to the Bow Wow Brunch including, but not limited to, production firms, venue staff, printers, photographers, and event rentals. 

  • Cultivate and maintain relationships with donors through effective stewardship, ensuring timely acknowledgment, personalized engagement, and consistent follow-up to enhance donor satisfaction and retention. 

  • Assist in managing and executing internal event requests. 

  • Identify and pursue opportunities to increase event revenue and program reach. 

  • Coordinate with the Corporate Engagement team to ensure sponsorship benefits are delivered effectively. 

  • Collaborate with the Marketing Team to promote events and build awareness of community engagement activities. 

  • Work with various departments throughout the organization to support event needs while developing and nurturing relationships with key stakeholders. 

  • Lead and coordinate event staff and volunteers' efforts, with help from the Volunteer Manager. 

  • Develop and manage individual event budgets, monitoring event expenses and finding cost-effective solutions to achieve revenue goals. 

  • Maintain project plans and update the organization event calendar. 

  • Aid in managing Event Team inventory. 

  • Prepare post-event reports and handle post-event follow-up including gift acknowledgments, auction fulfillment, market research surveys, and correspondence with vendors and attendees. 

Qualifications

 

  • At least three years of related event experience, preferably in development emphasizing non-profit event fundraising

  • Demonstrate proficiency in computer systems and software, with the ability to quickly learn and adapt to new technologies and platforms as needed

  • Working knowledge of Salesforce software or other CRM preferred

  • Interpersonal skills to problem solve and resolve conflict

  • Must be able to work independently as well as in a team environment

  • Working knowledge of animal welfare issues is desirable

  • Excellent organizational planning and proven ability to meet deadlines

  • Ability to communicate effectively, orally and in writing

  • Self-reliant, highly motivated, and positive attitude

  • Methodical and detail-oriented with ability to multi-task

  • Must possess a valid Georgia driver’s license in good standing or be able to obtain a valid Georgia driver’s license

  • Must be available on weekends and extended hours as necessary to accommodate event needs

 

Working Conditions

  • Performs work in both an office setting and off-site events
