Job Description

The Program Coordinator will provide support with communication, development of media resources, and administrative functions for the programs and activities of the Contextual Education Office, including the Contextual Education I and II, Teaching Parish, Internship, and Clinical Pastoral Education (CPE) programs. The Program Coordinator will work closely with the Assistant Director and Program Directors and will interact with a wide range of internal and external partners. Strong professional communication skills, familiarity with digital and video production tools, organization, attention to detail, flexibility and strong interpersonal skills are essential. Familiarity with diverse church and non-profit networks and a knowledge of theological education and online learning are preferred. This is an opportunity for someone with good relational competencies, technical skill, and creative energy to work as a part of the Office of Contextual Education team to enhance visibility and digital presence.

 

KEY RESPONSIBILITIES:

  • Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
  • Conducts research and gathers information to develop various publications.
  • Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.
  • Assists in developing and coordinating program-related conferences, conventions, or meetings.
  • Monitors expenditures and may participate in the budget planning process and prepare financial reports.
  • May assist in identifying funding resources and developing fund-raising strategies and initiatives.
  • Prepares operational and statistical reports.
  • Conducts training, represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers.
  • Performs related responsibilities as required.
  • Supports the Assistant Director, including collaboration on program administration, operations, and external communication.
  • Supports Directors of Contextual Education, including special projects and teaching support.
  • Supports internal and external Contextual Education partners (supervisors, local pastors, non-profit directors, and Candler faculty and staff), including communication about program deadlines, management of course-related materials online, and responding to general inquiries.
  • Develops and implements strategies for effective communication about Con Ed programs and opportunities with in-person and remote students.
  • Develops and maintains communications materials for the Con Ed office, including website, bulletin board, print brochures, Con Ed Handbook, and presentation materials.
  • Maintains Canvas learning management system sites for Contextual Education courses and programs.
  • Supports development of video for curricular modules, Con Ed Office events, and communication needs, including materials that feature Con Ed programs, partners, and students.
  • Collaborates with Con Ed team to develop and implement digital and video projects that support program needs, in conversation with the Office of Digital Learning, Candler IT, and others as appropriate.
  • Plans and coordinates program-related events, conferences or meetings in a variety of formats (i.e., in-person, virtual, and hybrid), in collaboration with the Candler Office of Event Planning and other relevant offices.

  • Manages online evaluation process for academic programs, including distribution, collection, and processing of student and mentor evaluations each semester.

  • Maintains electronic student files, including contracts, academic evaluations and related materials, and responds to internal and external records requests, including requests from the Board of Ordained Ministry, requests related to Senior Portfolios, and others.

  • Maintains databases and records for programs to assist with operations and planning.

  • Performs other duties as assigned by the Assistant Director and Directors of Contextual Education.

Job Requirements
MINIMUM QUALIFICATIONS:
Bachelor's degree in a field related to the program.
Two years of related experience, or an equivalent combination of education, training and experience.
PREFERRED QUALIFICATIONS:
Working knowledge of and experience with Office365, Microsoft Word/Excel, Canvas, Canva, Zoom, and video production software.
General comfort with online applications and processes.
NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
