THE IDEAL CANDIDATE

To help us continue our growth, we’re seeking a Program Coordinator to join our high-functioning and passionate team.

You will work closely with the Chief  Program and Innovation Officer, Program Manager, and Marketing Director to support Outdoor Afro’s programs through scheduling, administrative follow-up, volunteer coordination, and event logistics.

As an ideal candidate, you are highly organized, detail-oriented, and skilled at multi-tasking. You have strong written and verbal communication skills and the ability to coordinate logistics across multiple teams.

PRIMARY PURPOSE OF POSITION

Reporting to the Chief Program & Innovation Officer (CPIO), the Program Coordinator supports the organization’s program operations, volunteer coordination, and event logistics by handling scheduling, administrative follow-ups, and communications.

POSITION RESPONSIBILITIES

Program Administrative Support

  • Manage email inboxes, scheduling, and calendar coordination for the CPIO.
  • Assist with scheduling intake appointments and provide administrative follow-up, including setting up Zoom links and updating calendars.
  • Support volunteer coordination efforts, including recruitment, orientation, scheduling for administrative tasks, and event support.
  • Triage and respond to volunteer support tickets in a timely and professional manner.
  • Draft and send email, mail, and social media communications on behalf of the Program Team.
  • Respond timely to emails and support requests (via ticketing system) from the Program Team and Outdoor Afro staff.
  • Track program deliverables, deadlines, and pending action items.
  • Process invoices, payments, and reimbursements for program-related expenses.
  • Provide logistical support for monthly volunteer calls and team meetings.
  • Coordinate with external vendors, Swim Outfitters, travel companies, and event venues for program logistics.

Event Administrative Support

  • Provide logistical support for Outdoor Afro’s program events, including volunteer meetings, fundraising events, and community outreach activities.
  • Assist with event coordination tasks such as catering, A/V setup, attendance tracking, and material preparation.
  • Ensure proper greeting and accommodations for event attendees and assist with event wrap-up and clean-up.
  • Assist with onsite and offsite program, outreach, and fundraising events, which may occasionally take place outside of regular work hours.
  • Support onsite and offsite events, including packing, shipping, setup, and travel arrangements for staff and volunteers.

 

Requirements

  • One to three years of solid experience providing administrative support, including managing high-volume email correspondence and calendar scheduling.
  • Experience writing business letters, memos, and professional emails, is a must.
  • High School diploma, GED or equivalent, college degree preferred.
  • Experience using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Basic-Intermediate proficiency in Microsoft Excel, including the ability to format spreadsheets, enter data accurately, is required.
  • Strong proficiency in Google Suite (Docs, Sheets, Calendar, Gmail, Drive, Forms).
  • Excellent written and verbal communication skills.
  • Strong ability to multi-task, prioritize tasks, and meet deadlines efficiently.
  • Strong attention to detail and accuracy in scheduling, documentation, and communication.
  • Ability to interact in a professional and supportive manner with diverse cultural and economic backgrounds.
  • Strong customer service skills, with the ability to communicate effectively, remain calm under pressure, and provide a positive experience.
  • Professional demeanor and strong interpersonal skills – ability to work well and communicate clearly with team members, volunteers, and external partners.
  • Ability and willingness to occasionally travel to various locations.
  • Ability to work during core working hours aligned to Pacific Time, with occasional evening and weekend work as needed.
  • Must possess and provide proof of a valid driver’s license and clean driving record.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, talk, or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. COMPENSATION

Base salary range of $60,000 to $65,000 annually, commensurate with experience.
